School Supply Pick-Up

Dear Westville School Community,

The following plan is a guide for the procedures Westville School District will use to allow students to pick up classroom materials, clear out their lockers, and return school materials back to the district.  This process will look slightly different at each school.  Measures have been implemented to make this process safe and efficient for student and families. 

Please read about the process in place for each school   Specific questions should be addressed to the building principals at each school or the superintendent.  Email or phone calls will be the best way to communicate.  The district Facebook page will continue to be used to “push” information out, but it is NOT a good place to pose questions for a district response.


Judith Giacoma Elementary School


Procedure 

Families at Giacoma will have a specific date and location to pick up their student’s classroom materials and return school materials beginning April 29 – May 1.  Safety procedures are in place to make this a safe and orderly process.  There will be two pick up locations for drive-thru service 1) outside Mr. Ford’s office on the main entrance off of Walnut street and 2) off of the north circle drive outside of the entrance to the 6th grade hallway located on the northwest corner of the building.  Please go to the identified location for your student on the correct day, as that is where their classroom materials will be located.  There are arrangements in place if you have multiple students and families are unable to come during multiple times (see information below under “Considerations”).


Safety Protocols

  • Student materials were bundled into brown grocery bags by classroom teachers.
  • Staff used latex gloves and face masks while bundling student materials.
  • Administration (Mr. Ford and Mrs. White) will be the only people passing bundles to vehicles during drive thru service.
  • Parents and students will not be allowed to exit their vehicles during the drive-thru pick-up.


Drop-Off Procedures

  • If there are materials that need to be dropped off this can be done at the time of pick-up.
  • Items that need returned to the school include – library books, permanent textbooks (not consumable workbooks), band instruments, student uniforms, and/or any other materials that are school property.

Failure to return items that belong to the school will result in an outstanding bill to the district


Considerations

  • Many teachers will be attending the drive-thru service on the scheduled day for their students’ pick-up.
  • Teachers will be attending to wave and see their students, but will be practicing social distancing.
  • Families with multiple children may come on multiple days to see each student’s teachers, OR they may go through the pick-up line for one student and have their sibling’s materials distributed at that time.
  • A copy of student immunization records will be sent home with 5th grade students to assist with summer physicals.

Items that are not claimed during this scheduled pick-up procedure may be thrown out at the end of the school year.

Drive-thru Schedule for Giacoma

 

Wednesday April 29 – (9-10AM and 5-6PM)

East Office = Preschool, Early Childhood, Kindergarten

Northwest Circle Drive = 3rd Grade


Thursday April 30 – (9-10AM and 5-6PM)

East Office = 1st Grade

Northwest Circle Drive = 4th Grade


Friday May 1 – (9-10AM and 5-6PM)

East Office = 2nd Grade

Northwest Circle Drive = 5th and 6th Grade





Westville Junior High School


Procedure 

Families at WJHS will have a specific date and location to pick up their student’s classroom materials and return school materials beginning April 29 – April 30.  Safety procedures are in place to make this a safe and orderly process.  There will be one pick-up location: on the northeast girls locker-room entrance.  Please drive east bound to the identified location on the correct day, as that is where their classroom materials will be located.  There are arrangements in place if you have multiple students and families are unable to come during multiple times (see information below under “Considerations”).

Eighth Grade Graduation Gown Distribution

Students who wish to participate in either a live graduation ceremony (if restrictions change to allow) or a virtual graduation ceremony (filming the week of May 18) - will have an opportunity to do so, but will be required to purchase a graduation gown for these activities.  The cost of the graduation gown is $18.  Cash or checks (payable to “Westville Junior High School”) can be dropped off and gowns collected during the pick-up process.  Participation in any graduation activities is entirely voluntary.  More details about graduation will be shared in the weeks to come.

 

Considerations

  • Band instruments for all WJHS students have been included in the student bundles for pick-up.
  • Families with multiple children may come on multiple days, OR they may go through the pick-up line for one student and have their sibling’s materials also distributed at that time.
  • A copy of student immunization records will be sent home with 8th grade students to assist with summer physicals.

Westville High School


Procedure 

Students at Westville High School will have a specific date to clean out their locker, pick up their personal effects, empty their PE and/or band locker, and return school materials beginning April 28 – May 1.  Safety procedures are in place to make this a safe and orderly process.  Students should come on the identified day for their locker clean-out.  Students will be required to wear a mask during locker clear out.


Safety Protocols

  • Students will be required to wear a face mask/covering to participate in locker clean out.
  • Student will be provided latex gloves before entry into the building.
  • Students will wait at marked and designated spots designated before entry into the school.
  • Law enforcement will be present to ensure that students socially distance at all times.
  • No more than 10 students at a time will be allowed entry to clear out their lockers.
  • Family members will not be allowed to assist with locker clear out unless there are safety concerns.
  • At no time will there be more than 10 individuals allowed into the building for locker clear out.
  • Teachers will remain in their classroom and have designated spots for textbook returns.
  • School personnel will be wearing masks and gloves.
  • Mr. Goodlove will ensure students maintain social distancing at all times.


Textbook and Materials Return Procedures

  • Students will return textbooks, library books, band instruments, uniforms, and/or any other materials that are school property during locker clear out.  
  • Teachers will remain in their classroom and have designated spots within each classroom for textbook returns.  School personnel will be wearing masks and gloves.  
  • Social distancing will be practiced at all times during textbook return.

Senior Graduation Cap and Gown Distribution

A representative from Jostens will be present on Friday May 1 during locker clear out to distribute cap and gown order to seniors who have ordered them.  Students will need their cap and gown for filming of a virtual graduation ceremony the week of May 18 as well as for an in-person ceremony in the event a live graduation ceremony can be conducted before July 13.  More details about graduation will be shared in the weeks to come.
